About Veterinary Medicine Records

If you are in the business of rearing, production, or treating of farm animals which will end up as food intended for human consumption, you must keep a record of any veterinary medicinal product you give them or treat them with. (To ensure compliance with the Veterinary Medicines Regulations 2008)

Send animals for slaughter ONLY AFTER the end of the withdrawal period, for the veterinary medicinal product, which has been administered.

Who must keep records?

Any person engaged by way of business in the rearing, production or treatment of animals intended for the production of food, wool, skin, or fur or for other farming purposes. 

What animals are covered?

All animals, birds and aqua culture intended for human consumption. 

What is a Veterinary Medicinal Product?

This includes medicinal additives for feeding stuffs, medicated feeding stuffs, and vaccines, toxins or serums. 

What form should records take?

The records must be kept in a permanent and legible form. A copy of this form is available at the top of this page. This shows what compulsory and optional information should be recorded. 

For all events a complete and accurate entry must be made under the relevant column headings. This record book consists of both purchase records and administration records, please ensure both are completed as required.

If a veterinary surgeon administers a veterinary medicinal product to a food producing animal he must either enter the information in the keeper's records or give it to the keeper in writing in which case the keeper must enter the details required in his records.

How soon must a record be entered?

It must be recorded at the time of purchase and at the time of administration.

How long must the records be kept?

Five years from the end of the calendar year to which such a record relates or five years in the case of a prescription intended to show that withdrawal periods have been observed (calculated from the date of the withdrawal period), irrespective of whether or not the animal concerned is no longer in that keeper's posession, or has been slaughtered, or has died during that period.

Can the records be kept on a computer?

Yes, as long as a full printed copy can be produced in a form in which it can be taken away. 

When must I produce these records?

If an authorised officer directs you to produce these records for inspection you must comply with that direction.
